Planning a leadership retreat involves more than securing a venue. It requires choosing an environment that reflects well on the organizer, supports executive-level work, and minimizes logistical friction. The questions below are designed specifically for corporate planners, executive assistants, and leadership teams evaluating Firefly Venues.

Both Paradise and Rock Springs operate as fully private buyout estates near Nashville. That privacy changes the dynamic of a retreat — eliminating shared spaces, reducing distractions, and allowing conversations to extend naturally beyond scheduled agenda time, strengthening trust and decision-making clarity.

The following FAQs address logistics, capacity, AV, transportation, local access, pricing expectations, and planning support so you can evaluate with clarity and move forward with confidence. They are designed to reduce uncertainty, streamline decision-making, and ensure you feel fully prepared when presenting the venue to leadership stakeholders.

Privacy and Security

What types of retreats does Firefly Venues host?

Firefly Venues specializes in private, multi-day corporate strategy retreats, executive offsites, and leadership gatherings. Both Paradise and Rock Springs are designed for focused, conversation-first environments where teams can step away from daily operations and work intentionally on alignment, strategy, and decision-making.

In addition to corporate retreats, the estates may host curated private buyout experiences and select film or entertainment productions, depending on scheduling and fit.

Are the properties fully private during our event?

Yes. Both Paradise and Rock Springs are exclusive-use properties. When your group reserves the estate, you are the only guests onsite.

There are no shared lobbies, no overlapping conferences, and no competing events. This ensures uninterrupted sessions, increased candor, and an environment where conversations continue beyond the agenda.

How does a private estate environment differ from a hotel?

Hotels are designed for volume and shared occupancy. Firefly Venues is designed for contained, executive-level retreats.

With integrated lodging, meeting space, and dining areas in one environment, energy stays centralized and focus remains intact. Planners benefit from fewer logistical disruptions and stronger executive feedback following the retreat.

Accommodations

How many guests can the properties accommodate?

Paradise accommodates 24 individual beds for overnight guests across 13 thoughtfully designed rooms and shared suites, ideal for executive teams and intimate leadership groups.

Rock Springs supports larger leadership teams with 33 individual beds, 24 private en-suite rooms, multi-zone meeting areas, and expansive grounds suitable for structured programming.

We work with planners to align room configurations and meeting layouts with program goals.

What is the room configuration and privacy like?

Room configuration varies by property and can be structured in advance to align with leadership hierarchy and privacy preferences.

Paradise includes 13 guest rooms, 9 bathrooms, and 24 total beds. Five rooms feature private en-suite bathrooms. The remaining eight rooms share well-appointed bathroom spaces. Paradise works well for executive teams comfortable with a mix of private and shared accommodations, and room assignments are discussed in advance to ensure leadership comfort and clarity.

Rock Springs includes 24 guest rooms, and each room features a private en-suite bathroom. This configuration provides full individual privacy for larger leadership teams or organizations requiring dedicated accommodations per guest.

We work closely with planners to map room assignments intentionally prior to arrival.

What if we need additional or overflow lodging?

If your group exceeds onsite capacity, nearby hotel options in Gallatin include:

• Hilton Garden Inn Gallatin
• Hampton Inn Gallatin
• Fairfield Inn & Suites Gallatin
• Sleep Inn & Suites Gallatin

These are approximately 15–20 minutes from the estates. We can assist with room block coordination as needed.

Can we combine a leadership retreat with a larger client or showcase event?

Yes. Many organizations choose to pair a smaller executive strategy retreat with a larger-scale hosted event during the same stay.

For example, a leadership team may conduct private working sessions for two days, followed by a client showcase, product demonstration, investor gathering, or branded experience on the final day.

Both Paradise and Rock Springs are capable of accommodating larger, structured events in addition to executive retreats. Depending on layout and event design, outdoor gatherings can accommodate up to approximately 500 guests. Indoor structured setups, such as vendor booths or showcase configurations, are typically designed around smaller capacities to preserve flow and safety.

Additional planning, staffing, bar service, security, infrastructure, and coordination requirements may apply for larger hosted events. Our team works with you to align logistics, licensing, and event design to ensure both the retreat and showcase elements operate seamlessly.

This flexibility allows organizations to consolidate strategy, relationship-building, and brand visibility into one integrated experience.

What is included in a typical retreat package?

Each retreat includes:

Enhancements and curated experiences can be added à la carte based on retreat objectives.

Are additional amenities and curated experiences available?

Yes. Firefly Venues offers a range of experiential and executive-level enhancements designed to elevate your retreat beyond standard meeting formats.

Experiential options may include spa services, leadership tower challenges, competitive team programming, fishing excursions, pickleball tournaments, axe throwing, and curated evening entertainment such as live music.

Culinary and hospitality enhancements such as elevated dining experiences, bourbon tastings, and specialty programming can also be incorporated.

Investment for experiential enhancements typically ranges from low four figures to mid four figures depending on scope, duration, and facilitation requirements. Detailed pricing is provided during proposal development.

Do you offer on-site executive facilitation or leadership programming?

Yes. Firefly Venues offers optional executive facilitation led by Kris Intress, former CEO and leadership strategist. These sessions are designed to integrate directly into your retreat agenda and elevate the depth of discussion beyond standard meeting formats.

Programming options include:

15-Minute Alignment Activation – $500
A fast-paced, high-impact exercise designed to reset energy, surface insight, and catalyze meaningful discussion. Ideal as a mid-agenda shift or opening engagement tool.

30-Minute Leadership Module – $2,000
A focused leadership session addressing universal executive themes such as alignment, accountability, clarity, or decision-making dynamics. This module is structured but not customized to a specific organization.

60-Minute Executive Strategy Session – $5,000
A customized facilitation designed specifically for your leadership team. This session includes pre-retreat context gathering and is built around your organization’s real-time strategic priorities, challenges, and growth objectives.

Custom multi-session or extended facilitation structures are available upon request.

These sessions are optional and designed to complement — not replace — your internal leadership programming.

What audio/visual (AV) capabilities are available?

Core meeting AV is included and supports executive presentations, strategy sessions, and workshops.

Available on-site:

• Two flat-screen TVs with hardwire and wireless presentation capability
• One mobile TV for indoor or outdoor use *Paradise only
• Two+ projection screens with projector connectivity
• Wireless handheld microphones
• Portable speaker system
• Presentation clickers and HDMI connectivity
• High-speed WiFi in primary meeting areas

Additional hybrid or production-level AV can be coordinated as needed.

Is there reliable WiFi and cell service?

Yes. High-speed Wi-Fi is available throughout both Paradise and Rock Springs, including all primary meeting and working areas. The infrastructure is designed to support executive presentations, working sessions, and hybrid collaboration needs.

Cell service is generally reliable at Rock Springs. At Paradise, due to its more secluded estate setting, cell service may vary slightly by carrier; however, connectivity is typically sufficient for standard communication needs. Wi-Fi calling is available and commonly utilized when needed.

Transportation & Activities

How far are Firefly Venues from the nearest airports?

Firefly Venues is approximately 50 minutes from Nashville International Airport (BNA), providing convenient access for national and international travelers while allowing teams to transition into a focused environment.

For private aviation, Gallatin Municipal Airport is located just 10 minutes from both properties and accommodates private aircraft.

Transportation coordination is available through trusted local partners.

Do you provide transportation?

While Firefly Venues does not operate transportation services directly, we coordinate airport transfers, executive transportation, and off-site travel through preferred partners to ensure seamless arrival and departure experiences.

How far are the properties from downtown Nashville?

Both properties are approximately 50 minutes from downtown Nashville, allowing optional city access while maintaining privacy and retreat focus.

Hendersonville is approximately 25 minutes away and offers a wide range of dining options.

Can we host outdoor sessions or activities onsite?

Yes. Both estates offer flexible indoor and outdoor meeting environments. Outdoor breakouts, evening gatherings, and experiential programming are commonly integrated into retreat agendas.

Portable AV and flexible layouts allow planners to adapt sessions as needed.

What off-site activities are easily accessible?

Nearby options include:

Many groups choose to remain onsite to preserve retreat focus, but these options are available.

Food & Beverage

Is catering included?

Catering structure depends on how your retreat is designed.

For curated retreat packages, catering is included and aligned with your program flow. This typically includes daily breakfast, lunch, and dinner, along with continuous snack availability and a stocked beverage station throughout the day to support working sessions and informal conversations. Hospitality elements are designed to minimize disruption and keep energy consistent from morning sessions through evening gatherings.

Menus are developed in advance and can be elevated with specialty dining experiences, chef-led elements, bourbon tastings, themed evenings, or curated culinary enhancements.

For custom-built retreats, catering is determined based on the selections you choose. Some groups opt for full-service dining with continuous hospitality, while others structure lighter meal plans or incorporate off-site dining experiences. We work closely with planners to align food and beverage with retreat objectives, guest expectations, and budget considerations.

Our goal is to ensure the culinary experience supports the tone and productivity of your leadership gathering — whether refined and elevated or intentionally relaxed.

Is alcohol permitted on the property?

Yes. Firefly Venues holds the appropriate ABC licensing and permits required for structured alcohol service during hosted events and organized gatherings.

For any planned dinner, reception, meeting, or event where alcohol is served to the group — particularly when additional off-site guests are present — Firefly Venues manages and provides the bar service in compliance with licensing requirements. This ensures proper service, safety, and regulatory compliance.

During scheduled hospitality periods included within a catering package, beverage service may also be incorporated as part of the curated experience.

Outside of organized events, we do not monitor private guest rooms or inspect personal belongings, similar to a hotel environment. However, unmanaged alcohol service for group events or additional guests is not permitted without coordination through our licensed bar service.

This policy protects our licensing, ensures responsible service, and maintains a professionally managed retreat environment.

What restaurants are available nearby?

Gallatin (15–20 minutes away) offers 50+ locally owned restaurants and dining establishments, including downtown and waterfront options.

Hendersonville (25 minutes away) features 80+ dining venues, including upscale restaurants, lakefront dining, and nationally recognized brands suitable for executive dinners.

We provide curated recommendations and assist with reservations when needed.

Booking your retreat

What is the expected investment for a retreat?

Retreat investment is structured around two components: exclusive estate use and per-person participation. All retreats require a two-day minimum.

Paradise – Curated Retreat Model
$7,000 per day exclusive-use fee (two-day minimum) and $400 per person, per day (minimum of 9 guests). This includes private estate use, lodging, meeting spaces, and core retreat infrastructure. For three- or four-day retreats, multiply the daily estate fee and per-person rate by the total number of days.

Rock Springs – Curated Retreat Model
$15,000 per day exclusive-use fee (two-day minimum) and $400 per person, per day. Rock Springs supports larger leadership teams and expanded multi-zone programming. For extended retreats, multiply the daily estate fee and per-person rate by the total number of days.

Build-Your-Own Retreat Structure
$7,000 per day minimum (two-day minimum) and $175 per person, per day for lodging-only structure. Catering, AV enhancements, and experiential elements are added based on selected building blocks.

Most multi-day executive retreats fall within the mid-five to low six-figure range depending on duration, guest count, and customization. Detailed proposals are provided based on your retreat objectives and structure.

Is there a minimum guest count or stay requirement?

All retreats require a two-day minimum stay.

Paradise operates with a minimum of 9 guests.

Rock Springs is designed for larger leadership teams and typically operates with a minimum of 24 guests to align with the scale and structure of the campus.

Minimums ensure the property is utilized in a way that supports a cohesive and high-quality retreat experience.

How far in advance should we book?

Leadership retreats are typically secured several months in advance, particularly during peak spring and fall seasons. Early planning ensures availability and adequate time for coordination.

What is your cancellation or rescheduling policy?

Retreat reservations are secured through a formal agreement and deposit structure. Specific cancellation and rescheduling terms are outlined in the contract and reviewed in detail during the booking process.

We understand that leadership calendars can shift, and we work proactively with planners to navigate timing considerations whenever possible.

Do you assist with retreat planning?

Yes. While planners maintain program leadership, our team supports logistical coordination, vendor alignment, and property preparation to ensure seamless execution.

Film & Music

Can the property be used for film or entertainment productions?

Yes. Paradise, in particular, has a strong creative legacy and may accommodate select film or entertainment productions. Production inquiries are evaluated separately.
